Administrative Assistant

Location: Drawing Room (Primarily In-person, some remote hours)
Position Type: Part-Time, primarily within M-F workweek and a few hours on weekends

At Drawing Room, we host between 25-35 events per month, between workshops and community events across two locations (Midtown and Williamsburg). We are also open for Open Hours every day (except Mondays). We have a quickly growing team with many moving parts, and we have exciting plans for expansion and growth in 2025. We need someone who can keep everything organized and help everything move smoothly.

What You’ll Do: 

  • Communication and customer service: Assist with communication, including emails, inquiries, and updates to community members. These may include the following channels/platforms: 

    • Help manage people’s memberships, event bookings, and reservations  

    • Emails inquiries to our info@ inbox 

    • Sending out general email comms and newsletters 

    • Make website and event updates as needed 

  • Scheduling and logistics: Manage and maintain schedules for all Drawing Room programming. 

    • Book private event requests based on available dates. Send invoices and contracts.

    • Assist in scheduling team meetings, workshops, community events, private events.

    • Ensure stakeholders across different teams and functions are on track to meet deadlines, etc. 

  • Event success coordination: Support event and program logistics, from preparation to follow-up.

    • Coordinate with instructors, facilitators, hosts, volunteer coordinator, and community members to ensure smooth operations.

    • Coordinate food and beverage deliveries. 

  • Miscellaneous administrative tasks: Handle administrative tasks such as invoicing, data entry, and analytics, etc.

    • Pitching operational improvements that will help the team work more efficiently. 

  • This role will report directly into our Administrative Lead

  • Prior experience in project management roles 

Compensation & role details:

  • $20-22/hour depending on experience, with opportunities for increases as you take on more responsibilities 

  • Starting with 10-15 hours per week, likely to increase to 20-30 hours per week over the next few months, or to be shared with another person if you are unavailable to take on more hours  

  • Mostly flexible hours, with some meeting requirements throughout the week, for example for 1-1s or planning meetings where close collaboration is needed
